No-Show & Callout Policy Worksheet for Field Crews

Write definitions and a fair process before a stressful morning forces an improvised decision.

1. Define the event the policy measures

Choose one operational event: ready at the yard, beginning paid work, departing on route, or arriving at the first assignment. Do not use “checked in” as a vague substitute for the actual expectation.

2. Publish one notice channel and a backup

Name the primary person or channel for a callout and a backup if that channel is unavailable. State whether a text, phone call, voicemail, or system action is accepted. Avoid a rule that requires workers to disclose unnecessary medical details.

3. Separate status from discipline

A board can show that no check-in was recorded by a configured time. It cannot establish why. Before discipline, verify schedule changes, system failure, approved leave, access problems, and whether the worker performed compensable work that the board did not capture.

5. Draft exceptions and protected situations with counsel

Do not copy a generic “three strikes” ladder from the internet. Protected leave, disability accommodation, sick-time rules, collective-bargaining agreements, emergency situations, and state or local requirements can change what is lawful and appropriate.

If unable to report as scheduled, notify [primary channel] or [backup channel] by [notice expectation] when possible. A missing digital check-in is an exception flag, not a final determination. The company will review schedule changes, approved leave, technical errors, and other relevant facts before correcting records or applying the separately reviewed attendance process.

  5. Managers trained to apply the reviewed process consistently.
